JOB TITLE: Director of Instructional Services Secretary

 

REPORTS TO: Director of Instructional Services

 

JOB DESCRIPTION:

 

To assist and relieve the Director of Instructional Services of paper work and impedimenta so that he may devote maximum attention to the curriculum and instruction of the District.

 

SPECIFIC DUTIES AND RESPONSIBILITIES:

 

  1. Takes and transcribes dictation of various types, including but not limited to correspondence, minutes, and reports.
  2. Obtains, gathers, and organizes pertinent data as needed, putting this in usable form.
  3. Distributes correspondence, meeting agendas, curricula, packing slips and other assigned material.
  4. Maintains regular filing system, including material of a confidential nature, and processes incoming correspondence as instructed.
  5. Places and receives telephone calls, and records messages and filter calls.
  6. Maintains a schedule of appointments and makes arrangements for conferences and interviews.
  7. Greets presenters and team members of committees and arranges for their needs.  
  8. Prepares agendas and minutes for assigned committees. 
  9. Maintains record of attendance, sign in sheets, for employees under the Director of Instructional Services.
  10. Arranges lodging, travel and registration for those attending workshops and conferences paid by grants.
  11. Serves as registrar for district wide workshops and training for Director of Instructional Services and others as assigned.
  12. Maintains record of budget for Director of Instructional Services M & O Accounts and   various grants using spreadsheets.
  13. Prepares billings as needed for Arts Grant and various workshops, etc.
  14. Ensures all back up for purchase orders is properly submitted and purchase orders are closed with the correct amount listed in the grant. 
  15. Completes reference checks on substitute teacher applicants and schedules them for an interview.
  16. Sets up or arranges for set up of appointed workshops and/or meetings in the district office for Director of Instructional Services and submits the respective Pay Demand as necessary.
  1. Finalizes master copies of all math benchmark tests, answer sheets and answer keys (Grades 1-12). Hellps with preparing and copying instructional focus lessons (Grades 4-8). Finalizes master copies of instructional focus benchmark tests, answer sheets and answer keys (Grades 4-8). 

 

  1. Distributes Professional Development Certificates for all Safford Unified School District employees on an annual basis.
  1. Assists Director of Instructional Services with Highly Qualified updates/information.
  1.   Performs other jobs as may be assigned by the Director of Instructional Services.
